The Core Engine..!




A Document Controller is the "hidden" Core Engine of the Project Management.. Usually underestimated, under-graded and under-valued..!
There is no functional project without a Document Controller..
There is no successful project without a skilled Document Controller..

Regretfully, the project Managers themselves underestimate this role..
They are too proudly-wrong to believe they can survive without..! 

A True Project Manager will recognize and value the 1st Aide..
The Assistant Project Manager should be Document Controller..
PMI should reconsider and acknowledge..

A document controller is a Controller responsible for the timely, accurate and efficient preparation and management of documents. They control the numbering, sorting, filing, storing and retrieval of both electronic and hard copy documents produced by technical teams, projects or departments.

What are the duties and responsibilities of a document controller in construction?

Job Description
A document controller’s job description includes but is not limited to the following;

  • Set up, copy, scan and store documents,
  • Create templates,
  • Manage requests for documentation,
  • File documents in physical and digital records and ensure appropriate storage,
  • Review and maintain the accuracy of the records,
  • Editing where necessary to ensure they are up to date,
  • To liaise with and distribute project related information with all levels of the project team and potentially external parties,
  • Manage the processes around documentation within the organization,
  • Maintain confidentiality around sensitive documentation,
  • Prepare ad-hoc reports on projects when required.

Aside from the above tasks, as a document controller, you may be expected to train employees. The training will focus on the correct way to create and manage the company documents. This may be even more prevalent in a large organization where you could be responsible for overseeing a group of document specialists, and therefore their training on the documents and systems in place.

Document controller qualifications.

There are no official qualifications that are required to become a document controller, however the following are recommended;

Desirable Skills
There are also some desirable skills that will help you be a successful document controller candidate:

  • Strong IT skills in MS office including outlook, excel and word, 
  • Good attention to detail,
  • The ability to multitask,
  • Highly organized,
  • Excellent communication skills,
  • Proficient typing skills,
  • Minute taking.
